> [!info]+ Once you've created a tier, you assign customers to it. Everything to do with a customer's membership hangs off their customer record, and every change is logged. You'll need the settings permission to do any of this. Staff without it don't see the Members button. See [[Staff Management]]. ## Assigning a customer to a tier 1. Open the customer from your [[Customers]] page. 2. Find the **Membership tier** box on their record. It shows their tier name and icon, or "Not assigned". 3. Click **Assign membership** (or **Change membership** if they're already in a tier). 4. Choose the tier, set the dates, and save. ![[not-assigned-status.png]] For a free tier, or one you're collecting payment for yourself, that's it. The perks apply from the start date and there's nothing for the customer to accept. > [!warning] If the tier is billed by Stripe subscription, the perks wait for the first payment. Jammed emails the customer asking them to set it up, and they get nothing from the tier until they have. See [[Membership Payments]]. ## The membership form **Tier.** Which tier they're joining. The list also includes "No membership (remove)" when you're editing an existing membership. **Start date.** When the membership, and its perks, begins. Defaults to today. **End date.** Leave blank for a membership that never expires. Expired memberships are deactivated automatically overnight, and any Stripe subscription behind them is cancelled. On a tier billed by Stripe the end date is greyed out, because the subscription decides when the membership ends: > A tier billed by Stripe runs until the subscription is cancelled, so it sets its own end date. Cancel the subscription to end the membership. **Notes.** Internal only, not visible to customers. Useful for recording anything about the arrangement that doesn't fit elsewhere, particularly on tiers you're collecting payment for yourself. If the tier is billed by Stripe and the customer has a card on file, the form also offers to start the subscription straight away by charging it. See [[Membership Payments]]. ## One membership at a time A customer can only have one active membership. Moving someone from Silver to Gold is an edit to their existing membership, not a second one, so you'll never end up with two sets of perks fighting each other. The full history is kept regardless. See [[#Membership history]] below. ## Starting a membership in the future Set a start date later than today and you get a scheduled membership. This is the "sign them up today, start it on the 1st" case. While it's scheduled: - The customer shows the tier badge in your staff lists, so you can see it's coming. - **They get no perks until the start day.** No discount, no allowance, no access to restricted rooms, no change to payment terms. - Connected apps and automations don't treat them as a member yet either. The membership node in webhook and API payloads stays empty until the term actually starts. Perks begin on the start date. ## Fixed terms and expiry An end date means the customer is a member **through** that day. "Ends 31 Aug" means they're still a member on the 31st, with full perks, and stop being one on 1 September. The membership is deactivated by an overnight sweep after the last day. If there was a Stripe subscription behind it, the sweep cancels that too, so nobody keeps paying for perks that have stopped. Fixed terms are for tiers you're not billing through Jammed. On a Stripe-billed tier you don't set an end date at all: the subscription runs until it's cancelled, either by the member from their profile or by you removing the membership. See [[Membership Payments]]. > [!warning] Nobody is emailed when a fixed term runs out. Not the member, not you. There's no reminder before the end date and no notice afterwards. If you sell fixed-term memberships, put a reminder in your own calendar, because Jammed won't prompt you. Subscriptions are different: those do send emails when they're ending and when they've ended. ## Removing a membership Two ways, and they do the same thing: - Edit the membership on the customer's record and choose **No membership (remove)**. - Open the members list and click **Deactivate** on their row. The membership is deactivated and the full history stays on the customer's record. If they were paying by subscription, it's cancelled at the same time and no further payments are taken. There's no refund of the current period, so see [[Membership Payments]] before you remove someone who has just paid. Removing a membership doesn't email the customer, so if it's something they'd want to know about, tell them yourself. If the member has bookings already in the diary, particularly ones covered by an allowance, check those before you remove the membership rather than assuming they're unaffected. ## Finding your members The **Members** button on the [[Customers]] page opens the members list: customer, tier, start date, expiry, and Edit and Deactivate actions on each row. Newest first. Your main Customers list also gets a membership filter and shows tier badges next to customer names, which is the quicker route if you're already looking at someone. ## Membership history Every customer record keeps a **Membership history** audit trail showing what happened, when, and who did it: - Assigned - Removed - Tier changed - Dates changed This survives everything. If you merge two duplicate customer records, the membership history comes across with them, and the kept customer's active membership is the one that stays. ## Moving lots of people at once If you're retiring a tier, renaming your structure, or want to put every customer with no membership into a starter tier, use the move tool rather than editing people one at a time. It previews how many customers are affected and who they are before you commit, runs in the background, and adds a note to each membership recording where they came from, such as "Migrated from Gold". It can also bulk-enrol everyone who currently has no membership, or bulk-remove a tier. ## Common questions **A customer says their discount didn't apply. Why?** Most often, they had an active [[Coupons|coupon]]. Coupons and membership discounts never stack and the coupon wins. Check the booking's receipt, which itemises whichever one was used. **I set the membership up but nothing changed for them.** Check the start date. A membership starting tomorrow gives no perks today, even though the badge already shows in your dashboard. **A guest booked a members-only room. How?** Restrictions apply to members who are logged in. If your studio allows guest bookings, someone booking without signing in isn't recognised as a member, or as a non-member. Switching your studio to private bookings in [[Booking Settings]] closes that gap. **Can I put someone in two tiers?** No. One active membership per customer. If you need someone to have a discount and an allowance, put both perks on a single tier. See [[Membership Tiers]].
